Using Microsoft Outlook’s Inbox Repair Tool (SCANPST.EXE)

For Outlook 2010 and Later Versions

Locate the Tool: The Inbox Repair Tool is usually located in the following directory: C:\Program Files (x86)\Microsoft Office\OfficeXX, where “XX” represents the Office version number, such as “14” for Office 2010. “15” for Office 2013. and “16” for Office 2016 and later.

Run the Tool: Double-click on SCANPST.EXE to launch the Inbox Repair Tool. In the tool window, click the “Browse” button to locate the damaged PST file.

Start the Scan: After selecting the PST file, click the “Start” button to begin the scanning process. The tool will check the PST file for errors and display the progress.

Repair the File: If errors are found, the tool will offer to repair them. Click “Repair” to let the tool fix the issues. Once the repair is complete, you can try to open the PST file in Outlook.

For Outlook 2007 and Earlier Versions

Locate the Tool: In Outlook 2007 and earlier, the Inbox Repair Tool is also named SCANPST.EXE, but it may be in a different location. For example, in Outlook 2007. it is often in C:\Program Files\Microsoft Office\Office12.

Run and Repair: Follow the same steps as above to run the tool, select the damaged PST file, and start the scan and repair process.

Using Third-Party PST Repair Tools

PST File Selection: Open the tool and choose the damaged PST file. You can also select the type of scan you want to perform, such as a quick scan or a deep scan.

Repair Process: Once you start the scan, the tool will identify and repair the issues in the PST file. It provides a detailed report of the repair process and allows you to save the repaired file with a new name.

Importing PST File to a New Outlook Profile

Create a New Outlook Profile:

Open Control Panel and navigate to “Mail” (the option name may vary depending on your Windows version).

In the Mail Setup window, click “Show Profiles”.

Click “Add” to create a new profile. Enter a name for the new profile and click “OK”.

Follow the prompts in the Add Account wizard to set up a new email account. You can choose to set it up manually or use the automatic configuration options.

Import the PST File:

Open Outlook and select the new profile you just created.

In Outlook, go to the “File” menu and select “Open & Export” > “Import/Export”.

In the Import and Export Wizard, choose “Import from another program or file” and click “Next”.

Select “Outlook Data File (.pst)” and click “Next”.

Browse for the damaged PST file and select it. You can also choose additional options such as how to handle duplicates.

Click “Finish” to start the import process. Outlook will attempt to import the data from the PST file into the new profile. If there are any errors during the import, Outlook may display a message indicating the problem.

Recovering PST File from Backup

Using Windows Backup: If you have enabled Windows Backup and have a recent backup that includes the PST file, you can follow these steps to restore it.

Open the Control Panel and go to “Backup and Restore (Windows 7)” or “File History” (depending on your Windows version).

Look for the option to restore files and follow the prompts. You will need to select the backup date and location where the PST file was backed up.

Select the PST file you want to restore and choose the destination where you want to restore it. Make sure to restore it to a location that Outlook can access.

Using Microsoft 365 Backup: If your Outlook account is connected to Microsoft 365 and you have enabled backup features in Microsoft 365. you can recover the PST file from the Microsoft 365 backup.

Log in to your Microsoft 365 account and navigate to the backup or recovery section. The exact location may vary depending on your subscription and settings.

Look for options to restore mailbox data or PST files. Follow the prompts to select the appropriate backup and restore the PST file to your local computer or directly to Outlook.

Manual Repair by Extracting Data

Using MFCMAPI: MFCMAPI is a tool that can be used to access and manipulate the contents of a PST file at a low level.

Download and Install MFCMAPI: You can download MFCMAPI from the Microsoft Download Center or other reliable sources. Follow the installation instructions to install the tool.

Open the PST File in MFCMAPI: Launch MFCMAPI and use the “Session” menu to log on to your Outlook profile. Then, use the “File” menu to open the damaged PST file.

Extract Data: In MFCMAPI, you can navigate through the folders and items in the PST file. Select the items you want to extract and use the “Export” option to save them as individual files or to a new PST file. For example, you can export emails as MSG files or contacts as VCF files.

Using Outlook’s Export Function: If the PST file is only partially damaged, you may be able to export the undamaged parts of the data.

Open Outlook and select the folders or items in the damaged PST file that you want to export.

Go to the “File” menu and select “Open & Export” > “Import/Export”.

In the Import and Export Wizard, choose “Export to a file” and click “Next”.

Select “Outlook Data File (.pst)” and click “Next”.

Select the destination folder and file name for the exported PST file. You can also choose options such as including subfolders and how to handle permissions.

Click “Finish” to start the export process. Outlook will export the selected data to a new PST file, which may be less damaged or corrupted than the original.
