Losing important emails due to accidental deletion can be a frustrating experience. Fortunately, there are several ways to recover deleted mail on a Mac, depending on the email client you are using and the specific circumstances of the deletion.
II. Recovering Deleted Mail in Apple Mail
Apple Mail is the default email client on Mac, and it provides some built – in features to help you recover deleted emails.

Method 1: Use the Trash Folder
The first and simplest method is to check the Trash folder in Apple Mail. When you delete an email, it usually goes to the Trash folder rather than being immediately removed from your system.
To access the Trash folder, open Apple Mail and look for the “Trash” option in the sidebar. Click on it to view the contents of the Trash folder.
Locate the deleted email you want to recover. You can select the email and then click on the “Move to” button (usually represented by an arrow – up icon) and choose the original mailbox where the email was located. Alternatively, you can simply drag and drop the email from the Trash folder back to its original location.
Method 2: Use the Undo Function
If you have just deleted the email and haven’t performed many other actions in Apple Mail since then, you can try using the Undo function.
The shortcut for Undo in Mac is “Command + Z”. Pressing these keys together immediately after deleting an email may reverse the deletion and bring the email back to its original position in the inbox or other mailbox.
However, this method only works if you act quickly, as the Undo function has a limited scope and may not be able to recover emails that were deleted some time ago or after you have performed multiple other operations in the application.
Method 3: Use Time Machine
If you have enabled Time Machine on your Mac and have regular backups, you can use it to recover deleted emails in Apple Mail.
Time Machine allows you to restore files and folders to a previous state. To use it to recover deleted emails, first, make sure your Mac is connected to the Time Machine backup drive.
Open Apple Mail and then click on the “Mail” menu at the top of the screen. Select “Preferences” and then go to the “Accounts” tab.
Click on the account for which you want to recover the deleted emails and then click on the “Mailbox Behaviors” tab. Note down the path of the mailbox folder, which is usually something like “/Users/[your – username]/Library/Mail/V2/Mailboxes/[account – specific – folder]”.
Now, open the Finder and navigate to the folder where the mailbox is located. Once you are in the mailbox folder, click on the Time Machine icon in the menu bar and enter Time Machine.
In Time Machine, you will see a timeline on the right side of the screen. Scroll through the timeline to find a point in time before the emails were deleted. You can preview the contents of the mailbox folder at each time point.
When you find the version of the mailbox folder that contains the deleted emails, select the folder and click on the “Restore” button to restore the mailbox to its previous state. This will recover the deleted emails and they will appear in Apple Mail as if they were never deleted.
III. Recovering Deleted Mail in Other Email Clients
If you are using an email client other than Apple Mail, such as Microsoft Outlook or Thunderbird, the process of recovering deleted emails may be different. Here are the methods for some popular email clients:
Microsoft Outlook for Mac
Method 1: Check the Deleted Items Folder: Similar to Apple Mail, Outlook for Mac has a Deleted Items folder where deleted emails are temporarily stored. Open Outlook and look for the “Deleted Items” folder in the folder list. Locate the deleted email you want to recover, right – click on it, and select “Move to” or “Copy to” to move the email back to its original folder or another desired location.
Method 2: Use the Outlook Recovery Tool: Microsoft Outlook also provides a built – in recovery tool. Go to the “File” menu and select “Info”. Under the “Account Information” section, click on “Manage Folders”. In the “Manage Folders” dialog box, click on the “Recover Deleted Items” button. This will open a window showing the deleted items that can be recovered. Select the emails you want to recover and click on the “Restore” button to bring them back to your mailbox.
Thunderbird
Method 1: Check the Trash Folder: Thunderbird stores deleted emails in the Trash folder. Open Thunderbird and find the Trash folder in the folder pane. Locate the deleted email and drag it back to the original mailbox or use the “Move” option in the context menu to restore it.
Method 2: Use the Local Folders Backup: If Thunderbird is configured to use local folders and you have a backup of these folders, you can use it to recover deleted emails. First, close Thunderbird. Then, locate the Thunderbird profile folder. The location of the profile folder depends on your Mac’s operating system version, but it is usually in the “/Users/[your – username]/Library/Thunderbird/Profiles/[profile – name]” directory.
In the profile folder, look for a folder named “Mail” or “ImapMail” (depending on your email account type). Inside this folder, you will find sub – folders corresponding to your email accounts and mailboxes. If you have a backup of this folder, copy the contents of the backup folder to the corresponding location in the Thunderbird profile folder, overwriting the existing files. This will restore the deleted emails. However, be careful when doing this as it may overwrite any changes you have made to the mailbox since the backup was taken.
IV. Recovering Deleted Mail from the Server
In some cases, the deleted emails may still be available on the email server, especially if you are using an IMAP (Internet Message Access Protocol) account.
For IMAP accounts, the emails are stored on the server and synced with your Mac. When you delete an email in the email client, it may only be marked as deleted on the server and can be recovered within a certain period.
To recover deleted emails from the server, log in to the web – based email interface provided by your email service provider. This could be the website of your email provider, such as Gmail, Yahoo Mail, or your company’s email portal.
Once you are logged in, look for a folder or option related to deleted items, trash, or recycle bin. The location and name of this folder may vary depending on the email service provider.
In the deleted items folder, locate the emails you want to recover and mark them as un – deleted or move them back to the inbox or the original mailbox. The specific steps may differ, but usually, there will be an option to perform these actions in the context menu or toolbar of the deleted items folder.
If you are using a POP (Post Office Protocol) account, the situation is different. With POP accounts, the emails are downloaded from the server to your Mac and usually deleted from the server after downloading, unless you have configured the account to leave a copy on the server. If you have left a copy on the server, you can follow a similar process as for IMAP accounts to log in to the web – based interface and recover the deleted emails. However, if the emails have been deleted from the server and you don’t have a local backup, it may be more difficult to recover them.

For example, in Apple Mail, you can go to the “Mail” menu, select “Preferences”, and then go to the “General” tab. Here, you can set the number of recent actions that can be undone. Increasing this number can give you more time to recover from accidental deletions.
Be Cautious When Deleting Emails: Before deleting an email, double – check if it is really something you want to delete. You can also create a separate “Archive” folder and move important emails there instead of deleting them. This way, you can easily access the archived emails later if needed, and they won’t clutter your inbox.
Use Email Filters and Rules: Set up filters and rules in your email client to automatically organize incoming emails. This can help you keep your inbox clean and make it easier to manage your emails, reducing the chances of accidentally deleting important ones. For example, you can set up a rule to automatically move emails from a certain sender to a specific folder or to mark them with a particular label.
